Not Everything Needs to Land on Your Desk

Knowing everything doesn't mean you have to do everything. Make more room for the work that genuinely needs you.

When you run a business, you become the person who knows how everything works.

You know the clients, the systems, the history and all the little details that keep things running smoothly. You're the person people turn to when they have a question, need a decision or can't quite remember how something was done last time.

That's a real strength. It means you're invested in your business, you understand what makes it tick and you care about getting things right.

But knowing everything doesn't mean you have to do everything.

And if every small task, question and decision keeps landing on your desk, you can quickly find yourself spending more time managing the day-to-day than actually growing your business.

Informed, Not Involved in Everything

There's a difference between being informed and being involved.

Being informed means you know what's going on. You have a clear picture of your projects, clients and priorities, and you can step in when your input is genuinely needed.

Being involved in everything means every question, decision and small task has to pass through you first.

The first keeps you in charge. The second just keeps you busy.

Think about how much of your working day is spent answering emails, moving appointments, updating records or checking that routine tasks have been completed. None of these things is necessarily difficult, but together they can take up a surprising amount of time.

And because they're often quick jobs, it's easy to keep squeezing them in between meetings, calls and more important work.

Before you know it, the day has disappeared, and the work that actually required your expertise has been pushed to tomorrow.

Your best work deserves more than whatever time is left at the end of the day.

The "Me, or Just Done?" Test

Here's a simple test for anything that lands on your desk.

Does this need me, or does it just need to be done?

It sounds straightforward, but it's a useful way to start looking at your workload differently.

A client strategy call needs you. A pricing decision needs your judgement. Planning the next stage of your business needs your experience and direction.

Moving an appointment, updating the CRM, organising documents or uploading a blog post? Those tasks still matter, but they don't necessarily need you to complete them personally.

They just need doing, and doing well.

The same goes for following up on routine enquiries, keeping spreadsheets up to date, preparing documents or making sure your diary reflects the week ahead.

These are the small, practical jobs that keep a business running smoothly. But when you're the person responsible for everything, they can easily take priority over the bigger picture.

Once you start sorting tasks this way, you'll be surprised how quickly the "just needs doing" pile grows.

The goal isn't to hand everything over or lose sight of what's happening in your business. It's to recognise where your time makes the biggest difference.

Why the Small Tasks Add Up

One email takes a couple of minutes. A quick diary change takes five. Updating a client record takes another few.

Individually, they don't seem like much.

But every time you switch between tasks, you also have to redirect your attention. A quick admin job can interrupt a piece of focused work, and getting back into the original task can take longer than expected.

Multiply that across a busy week, and those little interruptions start to cost you valuable time and headspace.

There's also the mental load of remembering everything that still needs doing. Following up with a client, checking a document has been sent, updating a record or chasing a response can leave you with a running list of unfinished jobs in the back of your mind.

Delegating routine tasks helps reduce that pressure. Instead of trying to remember every detail yourself, you have someone helping keep things organised, moving and up to date.

That means fewer loose ends for you to carry around.

Picture a Clearer Desk

Imagine your week with that "just needs doing" pile taken care of.

Your inbox is organised. Your appointments are up to date. Your documents are where they should be, your CRM reflects the latest information and routine follow-ups aren't being forgotten.

You know what's happening without having to personally manage every step.

Suddenly, there's more room in your day.

More time to speak to clients, develop relationships, plan your next move or finally get started on the project you've been putting off for weeks.

There's also more space to think. Instead of constantly reacting to whatever needs attention next, you can spend time making considered decisions about where your business is heading.

That isn't stepping back from your business. It's stepping into the part of it only you can do.

And you don't have to wait until you're completely overwhelmed to make that change. Even handing over a few recurring tasks can be a useful starting point.
