Terms and Conditions

Last updated: 21 July 2026. Please read these Terms and Conditions ("Terms") carefully before using our website or engaging our services. By accessing this website or booking our services, you agree to be bound by these Terms. If you do not agree, please do not use our website or services.

1. Services

We provide virtual assistant and administrative support services as described on our website or as otherwise agreed in writing with you. The specific scope, deliverables, timescales and fees for your services will be set out in a separate proposal, quotation or service agreement. Nothing on this website constitutes a binding offer, and we reserve the right to decline any request for services.

2. Fees and Payment

Fees for our services will be agreed with you in advance. Unless otherwise agreed in writing, invoices are payable within the period stated on the invoice. We reserve the right to charge interest on late payments in accordance with the Late Payment of Commercial Debts (Interest) Act 1998. Where a retainer or package is purchased, payment terms and any conditions relating to unused hours will be set out in your service agreement.

3. Your Responsibilities

You agree to provide accurate, complete and timely information, access and materials that we reasonably need to perform the services. You are responsible for ensuring that any materials you provide to us do not infringe the rights of any third party and comply with applicable law. We are not liable for delays or failures caused by your failure to provide what we need on time.

4. Cancellations and Refunds

If you are a consumer, you may have a statutory right to cancel within 14 days under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. If you ask us to begin the services during this cancellation period, you may be required to pay for services provided up to the point of cancellation, and you will lose the right to cancel once the services have been fully performed. Cancellation terms for ongoing or business clients will be set out in your service agreement.

5. Intellectual Property

All content on this website, including text, graphics, logos and images, is owned by or licensed to VA by Madi and is protected by copyright and other intellectual property laws. You may not copy, reproduce or distribute any content without our prior written permission. Ownership of any bespoke work we produce for you will transfer to you on full payment, unless otherwise agreed in writing.

6. Confidentiality

We treat all client information as confidential and will not disclose it to third parties except as required to perform the services or as required by law. We expect the same standard of confidentiality from you in respect of any of our own confidential information.

7. Data Protection and Privacy

We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Details of how we collect, use and protect your personal data are set out in our Privacy Policy. Where we process personal data on your behalf as part of our services, we will do so only on your documented instructions and in accordance with applicable data protection law.

8. Limitation of Liability

Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be limited or excluded by law. Subject to this, we will not be liable for any loss of profit, loss of business, or any indirect or consequential loss, and our total liability to you in connection with the services shall not exceed the total fees paid by you for those services. If you are a consumer, this clause does not affect your statutory rights.

9. Consumer Rights

If you are a consumer, you have legal rights under the Consumer Rights Act 2015, including the right to have services carried out with reasonable care and skill. Nothing in these Terms affects your statutory rights. For more information about your rights, please contact your local Citizens Advice or Trading Standards office.

10. Third Party Links and Changes to These Terms

Our website may contain links to third party websites, provided for your convenience only. We have no control over the content of those websites and accept no responsibility for them or for any loss or damage arising from your use of them. We may also update these Terms from time to time. Any changes will be posted on this page with an updated "Last updated" date, and your continued use of our website or services after any changes constitutes acceptance of the revised Terms.

11. Governing Law and Jurisdiction

These Terms, and any dispute arising out of or in connection with them, are governed by the laws of England and Wales, and the courts of England and Wales will have exclusive jurisdiction. If you are a resident of Scotland or Northern Ireland, you may bring proceedings in your own jurisdiction.
